Terms of Service

These Terms of Service (“Terms”) govern your use of 3docs (“the Service”), an invoicing tool for UK freelancers and sole traders, operated from Nottingham, England. By creating an account or using the Service you agree to these Terms. If you do not agree, do not use the Service.

1. The Service
3docs provides tools to create, manage, and send invoices. The Service is intended for use by freelancers, sole traders, and small businesses based in or invoicing in the United Kingdom.
Not professional advice. 3docs is a productivity tool, not a substitute for accounting, legal, or tax advice. Invoice templates and VAT calculations are provided for convenience only. You are responsible for ensuring your invoices comply with HMRC requirements and any applicable laws. We strongly recommend consulting a qualified accountant for your specific circumstances.
2. Your account
You must be at least 16 years old to create an account. You are responsible for keeping your login credentials secure and for all activity that occurs under your account. Notify us immediately at hello@3docs.co.uk if you suspect unauthorised access.
You may only create one account per person. Accounts are personal and may not be transferred or sold to another person.
3. Plans and billing
We offer three ways to use 3docs:
- Free — create and download up to 3 invoices per month at no cost. No payment details required.
- Pay-as-you-go — purchase individual invoice send credits for £3 each. Credits are added to your account immediately after payment and do not expire.
- Pro — a recurring subscription (£9/month or £79/year) giving unlimited invoice creation, email sending, overdue reminders, and additional features. Billed in advance via Stripe.
All prices are in GBP and inclusive of any applicable VAT. We reserve the right to change pricing with at least 30 days’ notice to existing subscribers.
4. Cancellation and refunds
Pro subscriptionscan be cancelled at any time from Settings → Billing. Your access continues until the end of the current billing period and you will not be charged again. We do not offer partial refunds for unused time within a billing period.
Pay-as-you-go credits are non-refundable once purchased, as they are consumed immediately on use.
If you believe you have been charged in error, contact us within 14 days at hello@3docs.co.uk and we will investigate promptly.
5. Acceptable use
You agree not to use the Service to:
- Create or send fraudulent, misleading, or illegal invoices.
- Impersonate another person or business.
- Send unsolicited commercial communications (spam) to your clients.
- Attempt to gain unauthorised access to any part of the Service or its infrastructure.
- Reverse-engineer, scrape, or copy any part of the Service.
- Use the Service in a way that violates any applicable law or regulation.
We reserve the right to suspend or terminate your account immediately if we reasonably believe you are in breach of these Terms.
6. Your content and data
You retain ownership of all content you create in 3docs — your invoices, client records, and business data. By using the Service you grant us a limited licence to store, process, and transmit your content solely to provide the Service to you.
You are responsible for the accuracy of the data you enter. You are also responsible for ensuring you have a lawful basis under UK GDPR for storing your clients’ personal data in the Service. Our Privacy Policy explains how we process data and our obligations as your data processor.
We recommend keeping your own copies of important invoices. While we take reasonable steps to protect your data, we do not guarantee that the Service will be available at all times or that data will never be lost.
7. Intellectual property
The 3docs name, logo, design, and software are owned by us and protected by UK copyright and other intellectual property laws. Nothing in these Terms transfers any intellectual property rights to you.
You may not reproduce, distribute, or create derivative works from any part of the Service without our prior written consent.
8. Disclaimer of warranties
The Service is provided “as is” and “as available” without any warranty, express or implied. To the fullest extent permitted by law, we disclaim all warranties including fitness for a particular purpose, merchantability, and non-infringement.
We do not warrant that the Service will be uninterrupted, error-free, or free of viruses or other harmful components.
9. Limitation of liability
To the maximum extent permitted by applicable law, 3docs shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service, including but not limited to loss of revenue, loss of data, or loss of business opportunity.
Our total liability to you for any claim arising under these Terms shall not exceed the amount you paid us in the 12 months preceding the claim (or £10 if you are a free user).
Nothing in these Terms limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under English law.
10. Termination
You may delete your account at any time from Settings. On deletion, your data will be removed in accordance with our Privacy Policy.
We may suspend or terminate your account if you breach these Terms, if required by law, or if we discontinue the Service. We will give you reasonable notice where possible, except where immediate termination is necessary to protect the Service or other users.
11. Changes to the Service and these Terms
We may update the Service or change its features at any time. We may also update these Terms from time to time. When we make material changes, we will notify you by email or by placing a notice in the app at least 14 days before the changes take effect. Your continued use of the Service after that date constitutes acceptance of the updated Terms.
12. Governing law
These Terms are governed by the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
